Ive been the designated family holiday coordinator for basically a decade now and usually I have this down to a science. I use a master Google Sheet with protected ranges and color coding for different branches of the family tree so nobody sees what they arent supposed to see but this year has been an absolute nightmare. My brother got married over the summer and my sister-in-law is great but she is a literal chaos agent when it comes to digital stuff. Shes constantly hitting reply all on email threads where I’m trying to keep things low key and yesterday she literally texted the group chat with everyone in it including the kids!! saying she found the exact Lego set my nephew wanted and already bought it. Surprise ruined. Boom. Just like that.
Im trying to keep the budget around $2,000 for the whole group this year since were hosting at our place in Chicago but if the coordination keeps failing Im gonna end up with five duplicates of the same thing and a bunch of disappointed people who had zero surprises under the tree. I tried using one of those registry sites but half the older relatives found it too clunky and the other half forgot their passwords immediately so they just went back to texting me privately which defeats the whole purpose of having a system in the first place.
How do you guys actually manage this without it becoming a full time job or having someone accidentally leak the goods? I feel like Im playing a high stakes game of information security just to make sure my mom gets the right kind of air fryer without her knowing. Is there an app that actually works for non-techy people that has like a blind feature or something? Or am I just doomed to have every single gift revealed by a stray CC on an email? I need a way to lock this down before Black Friday hits or Im just gonna give everyone gift cards and call it a day...

Regarding what #2 said about managing these lists for years and how older relatives need things simple... I definitely agree on the simplicity but I kinda disagree that a plain list is the best way to handle a big $2,000 budget. If people just see a name of an item, they buy the first one they see and usually overpay, which is a nightmare when you're hosting and have other costs.
